HomeMy WebLinkAbout10.04.21 Board MinutesMINUTES Main Street Coordinating Board Date: Monday, October 4, 2021 - 1 1:30 a.m. 1, Call to Order: Ranada .lack, President Time: 1 1:38 Board Members Present: Tonya Keesee, Ranada Jack, Carol Terrell, Diane Martinez, Jay Givens, John Turpen, and Phyllis Wall. 2. September Board Min(..)fes Carol Terrell made a motion to approve the September Board minutes as printed. The 2nd: was voiced by John Turpen The motion passed with a 7-0 vote. 1 Staff Updates Melinda Brown, Main Street Manager / CVB Coordinator, presented staff updates for Main Street to the board. She shared that they would rotate committee reports on each agenda to offer fairness in reporting and discussion time. Agenda items will need to be presented to the Main Street office until the new bylaws are approved. John Turpen asked the board to be sure and look closely at the bylaws once presented because the wording is critical. Following some discussion, Melinda Brown requested further discussion following the meeting. Ms. Brown shared that there would be some shifts in committee chairs to open opportunities for all board members and be more fitting for those serving to serve in their passion. John Turpen was replaced on the beautification/education/awareness committee by Diane Martinez, who leads the beautification efforts for Main Street. Ms. Brown recommended replacing Diane Martinez with Jordan Hrbacek and Jay Givens on the marketing/organization committee. This will be on the November meeting agenda. The bylaws will be sent to board members in October and the City Council in November for approval. The board will review and vote at the November meeting. The Streetscape construction should finish up mid/end of October with the 500 and 700 blocks of Broadway. She recommended the first or second week of January for the ribbon cutting, following the Holiday Season events. There are remaining tree sponsorships available at 250.00, and the recognition will be in one location with all donors listed. 4. Bea(..)fificatic) n/i:::::d(..)catic) n/Awareness Janice Payne/John R..arper) a. Downtown Clean-up Updates - Diane Martinez shared that downtown looked good overall. There are a few spots reported. Diane thanked Melinda for getting the Streetscape crew to clean out the weeds in the bulb -outs, and she thanked Jay Givens for coordinated the Wayland University students for their service day downtown. b. Mural Grant - Melinda brown presented the mural grant information for Diane Martinez Carol Terrell made a motion to amend the mural grant of 1,500.00 for Diane Martinez, allowing the funds to be used for a mural on the front or side of her building. The 2nd: was voiced by Tonya Keesee. The motion passed with a 7-0 vote. 5. Von Prc)fit/i:::cc)nc)rnic Development John R..arper)/Phyllis Wall a. Financial Review Melinda Brown presented a working budget for the Friends of Downtown. b. Sponsorship Levels - Review and Approve Melinda Brown presented the committee report on the sponsorship levels, led a discussion, and answered questions to understand the opportunity levels. Tonya Keesee made a motion to approve the sponsorship levels as presented. The 2nd: was voiced by Diane Martinez. The motion passed with a 7-0 vote. 6. Prornotion/i:::::ver)fs Carol Ferrell/Ranada .lack a. Holiday Celebrations - Event Details/Volunteer Sign-ups Tori Huddleston's special projects coordinator went over the holiday calendar and passed a volunteer opportunity sign-up sheet for specific needs. b. 2nd Saturday Ranada Jack shared the October 2nd Saturday information and shared the basket value for the give-away is now at 500.00. In addition, she introduced the poster for the November 2nd Saturday, the Open House, Sweet -Stakes, and the Winter Wonderland lighted window contest. Tonya Keesee shared that the board will need to develop the lighted "lot" for the Robert's Treehouse Christmas Tree lot. She has the lights to loan for the project. She will get the coins for the Sweet -Stakes together, and Phyllis Wall will make a bag for the cash coins to be given to the winner in December. 7. Marketing/Organization Fonya Kc,esc,e/Diane Martinez a. Open House Melinda Brown reported that the Streetscape Ribbon Cutting will be held within the first couple of weeks in January 2022. "A New Year, A New Downtown" will be the theme for the event. & CVB Updates Melinda Brown reported that the Plainview Country Club had hired a new manager.
